Terms and Conditions

These terms govern your use of the FleetGS platform. By signing up, you agree to them. If you're signing up on behalf of a company, you confirm you have the authority to bind that company to these terms.

FleetGS Ltd is registered in England and Wales. References to "we", "us", or "FleetGS" mean FleetGS Ltd. References to "you" or "customer" mean the individual or company subscribing to the service.

1. The FleetGS service

FleetGS is a cloud-based fleet management platform. It provides tools for tracking vehicles, managing drivers, recording work hours, assigning jobs, and maintaining compliance records. The service is provided on a subscription basis over the internet.

We may update, improve, or add features to the platform at any time. Where changes significantly affect your use of the service, we'll give you reasonable notice.

2. Account registration and security

To use FleetGS, you must register an account with accurate information. You are responsible for:

  • Keeping your login credentials secure
  • All activity that takes place under your account
  • Ensuring that any users you add to your account comply with these terms
  • Notifying us immediately if you suspect unauthorised access

You must be at least 18 years old to create an account. Business accounts must be created by an authorised representative of the company.

3. Free trial

We offer a 14-day free trial so you can explore FleetGS before committing. Here's how it works:

  • A valid payment method via Stripe is required to start your trial. We do this to reduce misuse — you will not be charged during the trial period.
  • At the end of the 14 days, your subscription will automatically convert to a paid plan unless you cancel before the trial ends.
  • You can cancel at any time during the trial with no charge.
  • We reserve the right to limit trial access to one per company or person.

4. Subscription and billing

FleetGS subscriptions are billed monthly. Prices are displayed on our pricing page and exclude VAT. VAT will be added at the applicable UK rate at checkout.

Payments are processed securely by Stripe. By providing payment details, you authorise us to charge the applicable subscription fees on a recurring monthly basis until you cancel.

Cancellation

You can cancel your subscription at any time from your account settings. We require 30 days' notice before your next billing date to avoid being charged for the following month. If you cancel mid-cycle, your access continues until the end of the current billing period — we do not offer prorated refunds for partial months.

Price changes

We'll give you at least 30 days' notice of any price changes by email. If you do not cancel before the change takes effect, we'll take that as your acceptance of the new price.

Failed payments

If a payment fails, we'll notify you and retry. If payment remains outstanding after a reasonable period, we may suspend your account until the balance is settled.

5. Acceptable use

You may only use FleetGS for lawful purposes and in accordance with these terms. You must not:

  • Use the platform for any illegal activity
  • Attempt to scrape, copy, or extract data from the platform by automated means
  • Resell, sublicense, or otherwise commercialise access to the platform
  • Introduce viruses, malware, or other harmful code
  • Attempt to gain unauthorised access to our systems or another customer's data
  • Use the platform to process data in a way that violates UK GDPR or other applicable data protection law
  • Harass, intimidate, or harm any individual through the platform

We reserve the right to suspend or terminate accounts that breach this policy without prior notice.

6. Intellectual property

Our platform — FleetGS Ltd owns all intellectual property rights in the FleetGS platform, including the software, design, branding, and documentation. Nothing in these terms transfers any ownership of our IP to you. We grant you a limited, non-exclusive, non-transferable licence to use the platform for your internal business purposes during your subscription.

Your data — You own your data. The fleet records, driver information, job history, and any other data you input into FleetGS remain yours. We process it to provide the service, but we have no claim over it. On termination of your account, you can export your data before it is deleted.

7. Data and privacy

Our Privacy Policy and GDPR & Data Rights page explain how we collect and use personal data. By using FleetGS, you agree to those policies.

You are responsible for ensuring that you have appropriate legal grounds to add driver and employee data to the platform — including informing drivers that their location and work data may be recorded and processed via FleetGS.

8. Availability and uptime

We work hard to keep FleetGS available and reliable. However, on standard plans we do not guarantee a specific uptime SLA. We may carry out planned maintenance from time to time — we'll try to do this at low-traffic hours and give advance notice where possible.

We are not liable for downtime caused by circumstances outside our control, including internet outages, third-party service failures, or force majeure events.

9. Limitation of liability

Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

Subject to the above, FleetGS Ltd is not liable for:

  • Loss of profits, revenue, or business
  • Loss of data or corruption of data
  • Indirect or consequential losses of any kind

Our total liability to you in connection with these terms, whether in contract, tort (including negligence), or otherwise, is capped at the total fees you have paid to us in the 3 months immediately preceding the event giving rise to the claim.

10. Termination

Either party may terminate the subscription by giving 30 days' written notice. You can do this from your account settings or by emailing us.

We may terminate or suspend your account immediately (without prior notice) if:

  • You materially breach these terms and fail to remedy the breach within 7 days of notice
  • You breach the acceptable use policy
  • Payment remains outstanding after repeated attempts to collect
  • We are required to do so by law

On termination, your access to the platform will end. Your data will be available for export for 30 days after the account closes, after which it will be deleted in line with our retention policy.

11. Governing law

These terms are governed by the law of England and Wales. Any disputes arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to these terms

We may update these terms from time to time. When we do, we'll notify you by email with at least 30 days' notice before changes take effect. If you continue to use FleetGS after the effective date, we'll treat that as acceptance of the updated terms. If you don't agree, you may cancel your subscription before the changes come into force.
